Awash in paper, court clerks go digital

County Accepts Electronically Filed Document

To grasp just how much paperwork the Madison County Circuit Clerk's Office handles every day, take a look at the cramped county courthouse basement in Edwardsville.

There, sealed off from the public, sit dozens and dozens of rolling shelves, each stuffed to the ceiling with thick manila folders and packed papers.

"This is just asbestos cases," said Chief Deputy Clerk Judy Nelson, pointing to four library-sized units brimming with files, during a visit Monday morning. "It's a lot of dead trees."

That massive workload - the 3rd Circuit Court processed 103,387 cases last year - is one reason why the state Supreme Court picked Madison County last year to test an electronic court case filing program.

The system, which started April 6, lets attorneys from both sides of a case digitally input many of the documents they would have had to physically submit at the courthouse. The information is then beamed to deputy clerks, who make sure the data fits with court rules.

Jim Maxey Arrangements Pending

Dear Clerks,

It is with heavy heart and deep sorrow that I share with you the news regarding our long time friend and associate Jim Maxey. Jim was know by County Officials all across this state. He warm smile, his tender heart, and always having a few minutes to chat will be missed by all of us.

Jim Maxey lost his battle with cancer on Tuesday afternoon 02/17/09. He died from pneumonia, a complication of his two year battle with lymphoma.

Arrangements are pending and I will post them as soon as they are available. The Illinois Association of Court Clerks will be contributing to Jim's Memorial choice.

Please keep his family in your prayers.

Federal Funding For Electronic Reporting of Court Dispositions

This Note from President Karen Slattery:

I have been contacted by Deb Plante from the Illinois State Police asking if there are any counties that would be interested in Federal Funding for the reporting of dispositions.

The money is not there yet, she is wants to know if there would be any interest of any kind for reporting and that would include electronic reporting.

Update on Ronda Yate's Daughter Bethany

I spoke with Ronda last night. (1-16-09) They got back home after driving in bad weather.

The doctors at Mayo confirmed everything that the doctor here told them. That made their faith in the doctor here be stronger.

She does have the tumor on the pituatary gland. She does have Cushings which she will try and control with diet and less stress--she also had a vitamin D definciency and was malnutritioned. The tumors in the intestine which the doctors called "hot spots" are not large enough to be biopsied--so Mayo suggested that they be scanned every 6 months to watch for any kind of growth.

She met with her doctor here yesterday with the Mayo results and the doctor here suggested that the "hot spots" be scanned every 2 months so that if they do grow they can catch it quicker.

She is not going to have any surgery at this point and will be returning back to work real soon.

Continue to keep them in your prayers and Ronda said to tell everyone she appreciated the prayers, cards, emails, texts and calls.

Could you please post to all the clerk's that Ronda, and her daughter, Bethany, need our prayers.

Bethany was first diagnosed with a tumor on the pituatary gland and that has caused her to have Cushings. She has also been having a lot of other problems along with getting strep and now having pnuemonia along with being diagnosed with carcinoid cancer in the small intestine. She has not been able to work for a few weeks now. She has been put through numerous tests and scans. I spoke with Ronda today and they are taking her to Mayo Sunday for a second opinion. Please say your prayers for them.
